POSITION OVERVIEW  

At Global Atlantic Financial group, we are looking for a dynamic addition to our team in our Hartford, CT office.  We are seeking an Executive Assistant to provide high-level, confidential administrative support for our GA co-President/Head of Individual Markets.  This role also supports other senior executives in our Harford location.   

Key duties include clerical, administrative and project-based tasks including managing calendars, arranging travel, handling information requests, preparing reports and correspondence and liaising with board members. The role will also support additional tasks and projects as requested, including coordinating team offsites.  

We are a fast-paced organization where change is the norm and being able to maintain composure and manage multiple priorities in this dynamic environment is critical to success.  Professionalism, teamwork, strong organizational skills, effective communication, and the ability to work efficiently under pressure are all critical to this role.   

DUTIES 

  • Administrative Support of Co-President and other senior executives
  • Manage multiple calendars, schedule meetings and appointments, and use good judgment to discern appropriate prioritization so that calendars are consistently up to date
  • Ensure meetings, deadlines, presentations and logistics are handled seamlessly
  • Ensure rooms are set up and zoom enabled for all meetings
  • Book travel according to the needs and preferences of each executive and prepare and submit expense reports and resolve any issues with payment
  • Assist with coordinating various events such as high-level business dinners, board meetings, and team offsites
  • Assist with special projects and additional functions as requested
  • Provide support and assistance in the preparation of general correspondence, presentations, and reports
  • Handle highly confidential information in an appropriate and professional manner
  • End to End coordination for customer/external visitors
  • Pre-register guests, book conference rooms, and arrange catering and AV requirements for major meetings
  • Set up /clean up conference room including guest internet connections, food & beverage
  • Greet guests, escort them to conference room, address any needs they may have (internet connection, etc)
  • Be a Team player and build/maintain a strong network 
  • Correspond appropriately with various executives and their teams, both within the GA organization and throughout the industry
  • Build and maintain working relationships with fellow administrative staff
  • Back-up other Executive Assistants in the Hartford Office and the Office Manager
  • Act as a liaison with the Executive Office and other departments

REQUIRED QUALIFICATIONS 

  • 5+ years supporting and working with C-suite executives
  • Professional level communication and interpersonal skills
  • Ability to multitask independently in a fast-paced, high-pressure environment
  • Take-charge mentality with an eye for detail
  • Demonstrated proficiency with the entire MS Office suite; strong Outlook skills are a must-have
  • A proactive approach to problem-solving with strong decision-making skills
  • Ability to work well with a group of other admins, including the ability to develop new processes and approaches as needed to support the office
  • Desire to expand role beyond responsive support to proactive contributions and ownership for administrative tasks
